Position Overview

The Operations Associate is an integral member of the I Dream Team. You will be the first point of contact for families and visitors. As such, you will be comfortable working with different audiences, multi-tasking, prioritizing, de-escalating, and everything in between. You are a quick learner, take initiative, love problem solving and figuring things out independently and as part of a team, and enjoy true collaboration. At the end of the day, you are willing to do what it takes to get the job done.

Generally, the Operations Associate plays a lead role in managing front office and registrar duties. Together with three other team members, you will form the Operations team, tasked with ensuring our coaches have what they need to lead their classrooms and our learners have what they need to be successful in those classrooms.

Responsibilities

  • Office Management and communications
    • First and primary point of contact for families and visitors in the school's Welcome Center
    • Maintains the copy machine, phone system, and email accounts
    • Maintains inventory of classroom and office supplies
    • Assists with school-wide communication to families including calls, mass messages to families, and creating school announcements.
    • Assists with social media pages
  • Learner Outreach, Recruitment, and Enrollment
    • Acts as the school registrar to welcome and guide families from the point of contact through enrolling in our school.
    • Ensures all enrollment and registration documents are received, organized, and complete.
  • Student Information and Data Systems
    • Maintains accurate learner information in all school systems, including eSchoolsPlus, health forms with the school nurse, and any other information platforms.
    • Leads attendance collection and reconciliation
    • Communicates with and processes information requests from all school stakeholders, including families and external agencies
    • Distributes of reports to families and staff as necessary
  • School Food
    • Participates in meal distribution and administrative duties related to the food service program
  • Community
    • Assists with logistics and preparations for school events and activities.
    • Participates in all necessary duties for the successful and orderly functioning of the school (hallway supervision, arrival/departure transitions, lunch/recess, and participation in field trips, supporting learners) and other such duties as assigned.
    • Serves as a full-time and engaged member of the school staff, including collaborating with school staff, towards fulfilling I Dream’s mission to our learners.
    • Fulfills other duties as assigned

Minimum Qualifications

  • 3+ years of experience in operations, preferably in an urban school environment
  • Must be willing to receive administration of medicine training
  • Experience working with school registration
  • Experience with eSchoolsPlus a plus
  • Experience with the Google platform (docs, sheets, gmail)
  • Results driven, solutions-oriented with commitment to operational, organizational, and customer service excellence
  • Strong oral and written communication skills

Compensation and Benefits

I Dream PCS offers a competitive salary commensurate with experience and a comprehensive benefits package to promote self-care and overall wellness, including employer-covered health insurance for employee, dental and vision insurance, free life insurance up to $50,000, 403b retirement including employer match, and included short term disability insurance.

Salary Range- ~$40,000
